Collaboration and permissions
CineFlow has three separate sharing layers. Understanding which one you are using answers most permission questions.
1. Workspace members
Section titled “1. Workspace members”Members of an organisation workspace see the workspace’s dashboard and its projects. Roles: Owner, Admin, Member, Viewer. Admins can invite members (with roles Admin, Member, or Viewer) and change roles from Manage Workspace in the workspace switcher. Viewers are read only everywhere in the workspace. Workspace seats count against the plan of the workspace owner.
2. Project collaborators
Section titled “2. Project collaborators”Collaborators are invited to a single project, not the whole workspace. Manage them from the collaborator avatars in a project’s top bar or the Share button’s Collaborators tab.
- Roles shown in the role menu: Admin, Can Edit, Can View. The project creator is the Project Owner.
- Custom page access: under Custom in a collaborator’s role menu, each project page can be set to EDIT, VIEW, or NONE. Someone whose page mix is not uniform shows the pill Custom. Setting custom page access on an Admin changes them to an editor first, since admins bypass page permissions.
- A collaborator with NONE on a page sees a locked panel: “You don’t have access to this page” and the page is greyed out in their sidebar.
- Invite by email or username with Invite Collaborator, or create a shareable invite link that carries a role. Invites and links show under PENDING and INVITE LINKS with expiry dates and can be revoked.
- Invited people accept at the invite link with Accept or Join project. Collaborators can leave a project themselves (Leave project).
- The number of distinct collaborators across your projects is limited by your plan. See Billing and usage.

3. Public share links and guests
Section titled “3. Public share links and guests”Share links give people outside the project read access without an account:
- Per page links: shot list, script, schedule, gear, and callsheet pages can each mint a public read-only link. These serve a frozen snapshot and can be updated or revoked at any time.
- Document guest links: a document link can be Can edit or View only. Guests join with just a name, appear in an ACTIVE GUESTS list, and can be removed individually or all at once with Revoke all access.

Who can do what
Section titled “Who can do what”- Creating share links, inviting collaborators, publishing callsheets, and managing the Shares dashboard require edit access to the project. Viewers see read-only pages and can copy already existing public links.
- The Activity tab of the Shares dashboard (project history) is visible to the project owner and admins only.
- Everything the interface hides is also enforced on the server, so permissions cannot be bypassed by URL.
