Cast and Crew
The Cast and Crew page manages everyone on a production: on-screen cast and behind the camera crew, with availability, confirmation status, rates, and callsheet tracking.
How to reach it
Section titled “How to reach it”Open a project and click Cast and Crew in the sidebar.
Layout
Section titled “Layout”One table holds everyone. The dropdown next to the view switcher filters it to Cast, Crew, or All. Views: Table, Cards, List.
Default columns: Type, Name, Character / Role, Status, Shoot Days, Availability. The Columns popover can add Email, Phone, Rate, Notes, and Callsheet confirmations. Display options offers Sort by (Name, Shoot days, Recently added) and toggles for Unassigned and Archived.
Add people
Section titled “Add people”- Add Cast opens Add Cast Member: Character Name (required), Full Name, Email, Phone, per shoot day availability, and accordions for Compensation (Rate Type hour/day/flat, Rate Amount, Currency, Payment Terms Net 7/Net 14/Net 30/Net 60/On Wrap, overrides, Deal Memo), Notes, and Social links (Instagram, LinkedIn, IMDb, Website).
- Add Crew opens Add Crew Member: Name (required), Role (autocomplete over 55 standard film roles, free text allowed), Email, Phone, Confirmation Status (pending, confirmed, declined), and the same Compensation, Notes, and Social links sections.
- From contacts: when creating, pick an existing contact to prefill the form and link the person to your contact book. Saving a new person also files them into your contacts automatically.
- Photos: after saving, edit the person to upload a photo (JPEG, PNG, or WebP, up to 5 MB). Without a photo, CineFlow falls back to their Instagram picture, Gravatar, or initials.
Availability
Section titled “Availability”Each row shows a pill per shoot day. Click a pill to cycle Available, Tentative, Unavailable, and not needed. If a change affects an existing callsheet for that day, CineFlow asks before updating it. Availability feeds the Schedule page’s roster picker.
Edit, archive, delete
Section titled “Edit, archive, delete”- Edit: the row’s three dot menu, or click a card. In Table view, name, character or role, email, phone, and notes cells edit inline.
- People linked to a contact prompt on save: Update this project only or Also update contact.
- Archive hides a person without deleting history. Delete is blocked while a cast member is linked to shots or a crew member is assigned to shoot days; archive instead or unlink first.
- Bulk actions: select rows for Status (crew), Availability, Archive, and Delete.
Contacts sheet
Section titled “Contacts sheet”The Contacts toolbar button opens your workspace contact book in a side sheet. Click the add icon on a contact to drop them into the project as cast or crew; contacts already in the project show an In project badge. See the Contacts guide.
Insights
Section titled “Insights”The People insights button opens a drawer of availability widgets for the production.
Export
Section titled “Export”Export PDF lives in the top bar Share popover, with options to include All, Cast, or Crew, an availability toggle, and orientation. See Exports and PDFs.
Permissions and offline
Section titled “Permissions and offline”- Viewers get a read-only page.
- Offline, adding and editing people is unavailable (“Editing unavailable offline”); availability changes still save offline and sync later.
