Callsheets

Callsheets turn a shoot day’s schedule into a daily sheet you can publish, share, email, and track.

Open a project and click Callsheets in the sidebar. The list page shows every callsheet with its status, day badge, call time, location, and scene and shot counts, in Cards, Table, or Kanban view.

  1. Click New Callsheet (or Create your first callsheet when the list is empty).
  2. In Create callsheet, set the Title, pick a Shoot day (scenes, cast, and crew come from the linked shoot day’s schedule; picking a day also pulls its general call time), set Day number, Total days, and General call time.
  3. Click Create callsheet. The editor opens.

The callsheet is a page based document built from blocks. Content that comes from the schedule (scenes, times, cast, crew) fills in automatically from the linked shoot day.

  • Layout (top bar chip) opens the block library: toggle header sections (Company, Key Staff, Day & Date, Weather, Call Times, Notes), show or hide sections, drag to reorder, and Add section to insert blocks.
  • Available blocks: Header, Production info, Schedule, Advance schedule, Cast, Crew, Locations, Department notes, Meals, Weather, Transport, Safety, Custom text, Image, QR code, Divider, Walkie channels, Footer.
  • Browse starter templates offers Standard (1 page), Detailed (2 pages), Full Production (3 pages), or Blank.
  • Right-click a block for Move up, Move down, Move to previous page, Move to next page, Duplicate block, Delete block, and Block settings. Pages can be added (Add Page), moved, duplicated, and deleted.
  • Call times: edit General Call Time in the header. In the Cast block, click any Pickup, Call, H/MU, On Set, or Wrap cell to set a person’s time, and click the status letter to cycle it. The Crew block works the same for its Call column. Empty cells fall back to the general call time.
  • Locations: the Locations block lists the day’s set locations with name, address, and notes, plus parking and hospital details where set.
  • Weather: shows the forecast for the day’s location: temperatures, conditions, sunrise and sunset.

Publishing freezes the current callsheet, including its derived schedule and roster, into a version. Share links and emails always deliver the latest published version.

  1. Open the Share popover.
  2. Under PUBLISH, click Publish (later Publish update). Preview shows the published version.
  3. Keep editing freely afterward; changes reach recipients only when you publish again. If you leave with unpublished changes and an active link, a reminder toast offers Update share link.

Under SHARE LINKS in the Share popover, optionally name the link (“Link label (optional)”) and click Create. Rows show Live v1, Awaiting first publish, or Revoked, with open, copy, and revoke actions. Recipients open a read-only callsheet page; when you publish a newer version they see a refresh banner.

  1. In the Share popover under Email callsheet, type recipient addresses (Enter, comma, or paste) or click Add callsheet crew & cast to add everyone on the sheet with an email address.
  2. Click the send button (Publish & send if there are unpublished changes, otherwise Send callsheet or Send to N recipients). Sending auto-publishes the latest version when needed.

Each recipient gets the callsheet email with a view link and a confirm button. The recipient list in the Share popover then tracks each person as Sent, Opened, or Confirmed, with a “N of M confirmed” summary. Recipients confirm from the shared page’s banner (“Confirm presence”) or the email’s confirm link.

Click Dashboard on the callsheet list for project wide delivery analytics: Callsheets, Sent, Opened, Confirmed, and Pending tiles, a Status mix chart, At a glance stats, and a per callsheet list. Click a row to see its recipients and their statuses, matched to cast and crew where possible.

  • The card menu on the list page has Rename, Mark completed, and Delete (deletes the callsheet and all its versions permanently).
  • Export PDF lives in the Share popover. See Exports and PDFs.
  • Time display follows the project’s Time Display setting, falling back to each member’s preference. See Set the time format.
  • Viewers see a read-only callsheet (the latest published version when one exists) and cannot publish, share, or email.
  • Offline, the list’s editing actions are unavailable (“Editing unavailable offline”).
