Gear

The Gear page tracks the equipment for a production, with automatic spec matching against CineFlow’s gear catalog and reusable equipment packages.

Open a project and click Gear in the sidebar. Reusable packages live under Equipment in the sidebar (the Equipment Packages page).

Views: Table, Cards, List. The Display options popover has Sort by (Department, Name, Urgency, Pickup Date, Created), Show toggles (Group by department, Ownership, Dates, Notes), a Filter section by owner and department, and a Gear insights link. In Table view the Columns popover manages columns (Name, Department, Status, Qty, Urgency, Ownership, Address, Pickup, Dropoff, Notes) and lets you add custom columns.

  1. Click Add Item in the top bar.
  2. In Add Equipment, fill Equipment name (required), Department (Camera, Lighting, Grip, Sound, Art, Wardrobe, Other, or type a custom one), Quantity, and optionally Ownership, Urgency (Low, Medium, High, Critical), Owner address, Pickup date, Dropoff date, Notes, and the Technical Specs & Notes accordion (weight, power, voltage, amps, batteries, runtime, connector, mount, notes).
  3. Click Add Equipment.

Alternatively, use the Add from package panel next to the form: pick a package, choose items and quantities, and click Add N items.

After you add an item, CineFlow matches its name against the gear catalog in the background:

  • A confident match links automatically and shows the item’s spec pills (weight, power, amps) from the catalog.
  • Otherwise the row shows a Review match or No match found badge. Click the badge to open Link to Gear Intelligence, search the catalog, and click Link.
  • To process many at once, open Gear insights and use Batch match N unlinked items: click Scan N items, review the suggestions, then Link N selected.

Linked items show catalog specs in the specs panel; your own entries in Technical Specs & Notes always take precedence.

  • Table cells edit inline: click to edit text, use steppers for quantity, click Status to cycle Needed, Confirmed, Missing, and click urgency to cycle its levels. Cards and List edit through a pencil popover.
  • Delete an item with its trash icon (confirmed).
  • Select rows for the bulk bar: Status, Urgency, Dates (set or clear pickup and return), Set Owner, Delete, Clear selection.

Gear insights (from Display options) opens a drawer with totals (Total items, Total quantity, Upcoming pickups, High urgency), breakdowns by department and urgency, Upcoming pickups (14 days), and Overdue dropoffs.

The Equipment Packages page manages reusable kits owned by you (not tied to one project):

  • New Package creates a package; rename inline and set Owner / Rental House and Address.
  • Add items with Add item (name, department, quantity), edit or remove them, and optionally link items to the catalog.
  • Apply a package to a project from the Gear page’s Add from package panel.
  • Import JSON and Export live in the top bar: export produces PDF (with orientation) or JSON for selected packages; import accepts a previously exported JSON file.
  • AI Smart Import extracts gear items from pasted text or an uploaded file (CSV, PDF, or image) into the selected package.

The project Gear page’s Share popover has Export PDF (organize by Department, Ownership, or Flat list, and scope by departments and owners) and the public gear list link. See Exports and PDFs and Sharing and permissions.

  • Viewers see the gear list read only and can copy an existing public link.
  • Offline, the gear list is read only (“Editing unavailable offline”).
